Michael Cassel Group produces world-renowned theater shows, including Hamilton and The Lion King, in Australia, London’s West End, Asia, the Middle East, and on Broadway in New York City.

Producing each show is like starting a new business. It involves hiring actors, musicians, behind-the-scenes staff, and creatives — genuinely a production.

Previously, employee information was collected via a static PDF. Staff then manually entered the data into Excel and the Salesforce CRM system. It took a lot of time to manually import the Excel contact data into the Salesforce database, which made it difficult to ensure that the most up-to-date information was in the system and that other data (show names, job and role titles, categories, etc.) were standardized.

When the team at Michael Cassel Group realized they could integrate Jotform submission data directly with their Salesforce CRM system, everything changed.

“Now that we’ve transitioned to Jotform Enterprise, we’re automating manual processes,” says Michelle Sverdloff, production administrator. “Instead of personnel filling out a PDF form and us then scanning it in, our employees can fill it out online and the data flows to Salesforce automatically.”

The Jotform Enterprise to Salesforce integration has allowed Michael Cassel Group to automate these processes, meaning that eventually staff will be able to see every stage manager they’ve ever employed, simply by searching in Salesforce and viewing the data that was collected via Jotform.

Initially, each Michael Cassel Group production used Jotform single-user accounts. The shift to Jotform Enterprise empowered the organization to bring its global production teams together on one platform to share forms and data.

“Our transition from having a bunch of single-user accounts to Jotform Enterprise was smooth,” says Sverdloff.

The Salesforce integration with Jotform Enterprise automatically links performers to their agents and child performers to their parents or guardians, ensuring communication goes through the proper channels.

“Our Jotform Enterprise Salesforce integration has allowed us to be much more sophisticated about how we onboard people and manage data,” says Sverdloff. “Because our work can be siloed across different projects, having a system where we can all be working on different things across the same platform and be able to share resources is really useful.”

“We save easily a month’s worth of time every year using Jotform Enterprise,” says McNaughton. “We were able to systematically establish and assign the appropriate job title, cast role, category, and department for each and every show — many of which have thousands of backstage staff — and then import all the information directly to Salesforce.”

To easily organize and share information with the cast and crew, the company management teams often use Jotform Apps. Each production has an app that contains company policies, forms to request tickets, incident reporting forms, key contact information, headshots of the cast and crew — everything needed to run the show.

“The company managers create these amazing, beautiful apps through Jotform Enterprise that get heavily used as an information hub,” says Sverdloff. “Being able to change a document or schedule and having it update immediately on the app is incredibly useful.”

“It was important to our CEO that our branding was consistent throughout,” says Sverdloff.

Jotform Sign is really useful for embedding sign documents into our forms. When we hire someone from overseas, we can capture their e-signature and all the information required by the Australian government to allow us to apply for their visa for them.

To automate the previously manual process for managing travel expenses, the team uses Workflows. “People make requests through Jotform, and the submission is routed to the appropriate supervisor. If approved, it’s sent to the payroll team to process,” says Sverdloff. “It’s really easy.”
