How to Create a Task in Jotform Workflows

Certain Workflow tasks need to be tracked online and completed offline. Issuing a parking pass to a new employee, for example, is a task that will need to be handled offline but tracked within an overall onboarding workflow. Add a task element to ensure all offline tasks are tracked and completed in one workflow. 

  1. Open the Workflow Elements menu and click Task.

  1. Drag and drop the task into your Workflow Builder. Then click Complete Settings.
  1. Name your task and provide a description.

  1. Then designate an Assignee. Note that this is a required field and your task will not be complete if you don’t designate an assignee.

Click the Form Fields dropdown to automatically assign the task to the email in your original form.

Now that you have created a task, let’s check out how to customize it and send task notifications. 

How to Customize your Task

  1. If you want to further customize your task, click Customize.

  1. From there, you can add any questions associated with the task, and add a header or a thank you page.

  1. You can even customize your task notification emails! Toggle the switch to enable and disable notification emails. Then click edit to customize your notification email.

  1. Customize like any other Jotform notification email. Click Save when you’re done.
