1) General: This contract applies to private parties only. Under the terms of this contract, the renter should read and agree to the following terms, and conditions. Movement Chicago Church reserves the right to refuse rental of its premises and services for any use that its Administrative Board deems undesirable or incompatible with the guidelines of Movement Chicago.
2) Description of Premises: The use of Movement Chicago 705 Jackson Blvd., Oak Park, IL includes the use of the lobby, restrooms, heating and air conditioning, lighting, house sound system (additional fee required), and parking facilities.
Please be advised that no one is to occupy the seat(s) of Bishop Tyree Beard/Pastor Jennifer Beard unless otherwise advised in writing by the administrative staff of Movement Chicago.
3) Promotion/Advertising: The renter is obligated to make all arrangements on their own concerning advertising, booking, guarantees, selling of tickets, and booking fees, along with all other forms of promotional advertising. Before any advertisements are made your deposit must be submitted. The renter is also responsible for deposits, overages, and shipping of any additional or rental of another sound system, from outside vendors. The renter will be allowed to bring in additional equipment from an outside vendor ONLY on the day of the event. The renter is solely responsible for loss or damage to the additional equipment from an outside vendor.
4) Capacity: The capacity of Movement Chicago sanctuary is 300 including the stage area; the capacity of the dining hall is 100 in banquet-style seating, and 200 in arena-style seating. Overcrowding of an event is unsafe and may also lead to a surcharge to be paid at the end of the event.
5) Equipment: The equipment rental is included in the rental fee.
6) Equipment Set-up: If you need special equipment set-up, you must present a diagram to Movement Chicago Representative one week before the event. At that time the Movement Chicago Representative along with your representative will discuss the diagram and logistics of what you need. All this must be done a week before the event, if this is not done the week prior, you will not be allowed to move any equipment, furniture, etc. on the day of the event.
10) Liability: The renter assumes full liability for all damages and injuries that may result from the event. Movement Chicago is not liable for any damages or injuries that may result from the event. Movement Chicago is not liable for damages incurred for anyone’s failure to perform as stipulated on this contract when prevented from doing so by acts beyond the control of Movement Chicago. If damages are caused by Movement Chicago such as equipment failure, lighting, or any other operational item(s) that prohibits the client from performing, the renter is entitled to a refund of monies paid to Movement Chicago for a deposit on the event. In no instance, for any reason, shall the renter be entitled to anything more than a refund of fees paid. Movement Chicago is not liable for equipment failure beyond the cost of the contract rental amount.
11) Damages to the Facility - The renter is responsible for all damages to the facility caused by, or as a direct result of their event. This specifically includes damages to bathrooms, seats, tables, sound equipment, lighting equipment, furnishings, and fixtures.
12) Clean up/Set-up/Breakdown: The renter is responsible for unusual clean-up beyond that normally expected of an event of this type. The following fee are associated with this rental:
12) Catering: All food preparations must be done by a licensed caterer. No cooking utensils, cutlery or serving platters will be provided by Movement Chicago. The renter is responsible for providing all the aforementioned materials. If the renter opts to use an unlicensed caterer, a signed waiver of liability from the renter to Movement Chicago will be required.
13) Decorations: The following decorations are specifically prohibited from the facility: confetti, glitter, spray paint, and burning objects. If helium balloons are used, it is the responsibility of the renter to retrieve all stray balloons from the ceiling and/or other areas of the church. Nothing at any time may be hung or taped to the walls or mirrors.
14) Fire Safety: Movement Chicago enforces all protection safety codes and is subject to inspection by the State Fire Marshall and/or the Village of Oak Park Fire Department. All fire aisles and exits must be kept clear. The renter will be held liable for any fines levied against Movement Chicago for violations during the event.
15) Holds, Bookings, and Payment Policy: Movement Chicago accepts reservations with the following conditions: Reservations are given on a first-call availability basis and held for the renter for a specific event only. A non-refundable deposit of $250 is required to hold and secure a reservation. If a reservation is not held by a deposit, a notice of 24 hours will be given to pay the deposit if another renter requests the same date. All deposits are due within seven (7) business days of the request. The balance is due within two (2) days of the event in the form of a cashier’s check, money order, cash, Zelle, or Cash App. No personal checks are accepted.
Deposits that are made with a “Returned Check” will result in the immediate cancellation of your requested date and a penalty charge of $30.00 will be due immediately. However, if you wish to rebook your event on the same date, if available, or if choosing another date, a deposit is required. No Personal checks – Cash Only!
The signed parties below agree to the full terms and conditions of the Movement Chicago Rental Agreement (Items 1 – 20). Any alleged oral representations or modifications concerning this agreement shall be of no force unless contained in a subsequent written modification signed by all parties.
If any terms, provisions, or conditions of this agreement are held by a court of competent jurisdiction to be invalid, void, or unenforceable, the rest of the agreement shall remain in full force effect and shall in no way be affected, impaired, or invalidated.
